This notice explains the personal data used to operate Care Circle and the choices available to you.

Who operates Care Circle

Data we use

Accounts and provider onboarding

Registration and account management can use your name, email address, password credential, verification state and access permissions. Provider claims can also include an organisation name, work telephone number and evidence supplied for administrator review. Passwords are not stored in readable form.

Care-home and vacancy information

Approved care providers can publish business contact details, care-home profile information and confirmed vacancy details. Public profiles and search results are designed to show organisation information rather than private account details. Private notes and review evidence are restricted to authorised provider users and administrators.

Search, contact and support data

Care searches can include a postcode or town and filters chosen by the visitor. When the contact form is used, Care Circle processes the submitted name, email, company, subject and message to respond. Please do not submit medical records or other sensitive personal information through search or contact forms.

Vacancy alerts

If you create an alert, we store your email address, consent time and privacy-policy version, verification and lifecycle state, the location and care filters you choose, and records of matched and sent notifications. Verification and management links use high-entropy security tokens. You can edit, pause, extend, unsubscribe or permanently delete an alert through its secure management page.

Family enquiries

If you contact a care home through Care Circle, we store your name, email address, optional telephone number, contact preference, general message, consent time and accepted privacy-policy version. We send the enquiry to the selected care provider and an acknowledgement to you. Do not include medical records, care plans or detailed sensitive health information. Authorised users at that provider and Care Circle administrators can access the enquiry for delivery, follow-up, support and security purposes.

Authentication providers

If an external sign-in provider is used, that provider returns the authentication information needed to sign you in, such as an email address.

Analytics data

After optional analytics consent, aggregate page and product-use events may be collected. Care Circle excludes names, email addresses, entered locations, contact contents, authentication tokens and provider-review evidence from those events.

Why we use data

Data is used to provide and secure accounts, review provider claims, publish provider-confirmed information, deliver searches and alerts, respond to support requests, prevent abuse, maintain records, improve the product and meet legal obligations. Optional analytics relies on consent.

Service providers and sharing

Information is shared only as needed with service providers that support hosting, database, email, location lookup, authentication and optional analytics. A postcode or town entered in search may be sent to the location service solely to resolve it to coordinates. Information may also be disclosed where required by law.

Retention and security

Information is retained only for as long as it is needed for the purposes above, including account, alert delivery, safety, dispute and legal-record requirements. Vacancy alerts normally expire after 90 days unless extended. Family enquiries are initially retained for up to 180 days. Unsubscribing immediately stops future alert delivery, while the permanent-delete control removes the alert and its associated match and delivery records. Appropriate technical and organisational measures are used to protect information, although no online service can guarantee absolute security.

Your rights and complaints

Depending on the circumstances, UK data-protection law can provide rights of access, correction, deletion, restriction, objection, portability and withdrawal of consent. Contact contact@care-circle.co.uk to make a request.
